Job Accountabilities:
Provide quality and proactive administrative support to Strategy & Business Directorate (SBD), with priorities coordination by SBD Director;
Prepare weekly / monthly SBD highlights;
Facilitate and schedule SBD events and meetings: Town Hall, Workshops, Lunch and Learn sessions etc.;
Assist in preparation of materials/documents/handouts for SBD meetings;
Manage SBD incoming and outgoing correspondence as per approved procedure;
Maintain an archive (electronic and hard copy) of important documents and e-mail correspondences of SBD;
Provide administrative support for meetings with Contracting Companies;
Provide and control an access for Contracting Companies to company databases (Petrolink, VIC, VGP);
Maintain and follow the SBD Whereabouts (leave schedule, training, etc.);
Arrange and assure:
o travel, accommodation, transport, timesheet compilation, visa support to SBD N1- N2 level staff o onboarding assistance and support for new comers (new user account, hardware, telephone, etc.); o organization of the visitors’ reception;
Support on the SAP blueprint review role for SBD contracts (Purchase order, call off orders, cost control);
Single point / first pass contact for SBD invoices/expenses;
Compilation of monthly VOWD data.
Act as office supplies/stationary focal point, assist in office space allocation / relocation, move of office equipment;

Qualification & Experience Requirements:
Professional or academic qualification in topics of accounting, logistics or economics. Or demonstrable equivalent professional experience of not less than 3 years.

Able to communicate in English and Kazakh / Russian in a business environment.
